The College of Education seeks a highly organized and collaborative Academic Coordinator to support certification, compliance, student services, and outreach initiatives within the department. This role coordinates complex documentation and communication processes, including preparing reports, maintaining departmental resources and websites, and developing materials related to certification and professional development. The coordinator serves as the primary liaison to the Pennsylvania Department of Education (PDE), monitoring regulatory updates, supporting program compliance, managing reporting processes such as Title II and program reviews, and overseeing approvals for continuing professional development hours (Act 48 and Act 45). The coordinator provides high-level customer service and student support by responding to complex inquiries, guiding students through certification and program requirements, and managing certification approvals for eligible graduates. The position also leads outreach and event coordination efforts by building partnerships with school districts, organizing professional development opportunities, and planning events that support student success. Working under general supervision, the Academic Coordinator analyzes and organizes workflows to ensure efficient operations while collaborating with faculty, program directors, admissions staff, and external partners to enhance the overall student experience and support educator preparation programs.

This position is a Grade: 8 - 37.5 with an approximate salary range of $43,940-$52,740 and is subject to change based on experience, skills and qualifications.
Key Accountabilities:
• Coordinates the preparation and production of complex documentation processes.
• Creates and updates work instructions, procedures, and departmental manuals.
• Prepares and controls records, statistics, and reports regarding department operations; creates and generates specialized reports as specified.
• Designs and creates graphs, charts, and presentations using established content.
• Develops departmental flyers, newsletters, announcements, and other communications as needed.
• Prepares guidance materials and communications related to certification, compliance, and professional development processes.
• Responds to varied and often complex inquiries requiring an in-depth understanding of University, department, program, and certification services, policies, and procedures.
• Communicates regularly with students regarding PDE-related matters, certification processes, and professional development activities.
• Administers and/or coordinates surveys for graduates and students to inform continuous improvement in student support.
• Collaborates with program and clinical coordinators on student communications and recordkeeping.
• Conducts coordinated outreach to school districts and partners to facilitate partnerships, field placements, and professional development opportunities.
• Plans and coordinates events that support student professional development, typically creating events from concept through execution and coordinating multiple internal and external constituents.
• Arranges conferences, lectures, receptions, and other special events in collaboration with internal partners such as the career and professional development office.
• Monitors Pennsylvania Department of Education (PDE) communications, attends relevant presentations and training sessions, and participates in appropriate workgroups.
• Works closely with teacher education, education specialist, and educational leadership program directors and coordinators to ensure understanding of and compliance with PDE regulations.
• Leads required review and reporting processes (e.g., annual reviews, major reviews, Title II reports, new program approvals).
• Manages processes for PDE approval of continuing professional development hours (Act 48 and Act 45) and communicates requirements and outcomes to students and stakeholders.
Qualifications:
• High School Diploma or GED; Associates or Vocational/Technical Degree preferred
• Five to eight years of work related experience
• Three to five years experience may be considered if accompanied by the preferred education level
• Excellent computer skills with experience using word processing, spreadsheet, database, presentation, and graphics software
• Strong analytical, decision making and problem-solving skills
• Ability to manage multiple tasks simultaneously
• Excellent organizational skills and time management skills
