Job Description

This position works both independently and collaboratively with general direction from the AVP and College Access Collaborative (CAC) leadership, providing excellent customer service and administrative support to the CAC team.

The Administrative and Fiscal Assistant essential duties are fiscal, and business functions, including ability to address routine and nonroutine fiscal issues; independently respond to requests for information or materials by phone, electronically, or in person; preparing and processing purchasing, accounting, contracts for events and external speakers; ordering/receiving supplies; travel reimbursements in various systems, such as but not limited to HokieMart, ChromeRiver and Banner; oversee fixed assets; including preparation of monthly reconciliation budget reports for the unit; data collection and reporting for budget development; independent thinking and decision-making skills to aide in planning complex projects and/or events for the department; serve as Continuity of Operations Plan (COOP) coordinator; complete special projects and other duties as assigned.

A successful candidate for this role requires knowledge of university and state policies and procedures, the ability to interact with executive level administrators, government officials, business executives, and faculty with an understanding of protocol, political environment and implications, and confidentiality. The essential duties include administrative, fiscal, and business functions.

Required Qualifications

Previous experience in office administration, project coordination or event support, or equivalent level of office experience demonstrating increasing levels of responsibility.
Experience managing projects and activities, including events and meetings.
Working knowledge of accounting/financial systems as well as office practice and procedures.

Preferred Qualifications

Experience providing fiscal support in an academic or professional office environment.
Experience providing administrative support in an academic or professional office environment.
Knowledge of university and state policies and procedures.
Experience working with HokieMart, Banner, Timeclock, ChromeRiver and Microstrategy Finance System or similar systems.
