Department Overview:

The Student Communications and Marketing team works with campus partners to ensure all students know the opportunities and resources available to them before and during their time at Boise State. Our goal is to help all Broncos have an exceptional Boise State experience

Job Summary/Purpose:

This position works with a cross-functional team of creative professionals to ensure the department runs smoothly and efficiently. The business operations coordinator will manage internal business operations, maintain the team’s project management systems, and serve as a liaison to vendors, campus partners and other university business operations teams.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

Essential Functions:
  • Project management: Maintain and optimize the team’s project management tools (e.g., Wrike, Google Workspace, Slack, etc.), ensuring timely completion of tasks and adherence to budgets.
  • Perform basic accounting processes: Process invoices, match them to purchase orders (POs), and coordinate with the procurement department to ensure timely payments. Reconcile department purchasing cards, ensuring appropriate documentation.
  • Budget tracking: Update the marketing budget tracker in real-time, ensuring actual spend aligns with budget forecasts.
  • Reporting: Compile monthly performance and budget data into clean, digestible format for leadership.
  • Vendor management: Act as the primary point of contact for vendors; manage new and existing projects and maintain exceptional quality controls.
  • Proficiency in Microsoft Excel, as well as familiarity with design/marketing software (Adobe Creative Suite or Canva).
  • Submit travel authorizations and expense reimbursements for staff travel.
  • Event management: Provide support to major campus events (Bronco Day, Bronco Family Weekend, etc.).
  • Perform other duties as assigned.
Knowledge, Skills, Abilities:
  • Strong verbal, written, organization and presentation skills
  • Ability to provide creative solutions to problems
  • Excellent project management skills; strong eye and editing skills; attention to detail
  • Knowledge of developing training materials and training sessions for system or project implementations
Minimum Qualifications:

Bachelor's degree or equivalent experience

Preferred Qualifications:

  • Familiarity with marketing and communications operations
  • Experience working in higher education or government entity
  • Experience with print advertising and bulk mailing is a strong plus
Salary and Benefits:
Salary for this role starts at $50,065.60 and depends upon experience. Boise State University provides a best-in-class benefits package, including (but not limited to):
