The Operations Manager for Integrated Marketing Communications (IMC) plays a critical role in the daily operations of the department. The Operations Manager coordinates all administrative office processes including internal department procedures along with IMC purchasing and contract support. This role utilizes all university financial systems for managing purchasing, recharges, budget transfers and contract processing. An additional element of this role is the ongoing administration and coordination of events and classes that use the Pepperdine classroom at Staples Center. This aspect of the Operations Manager role will also require some travel and evening hours. The Operations Manager reports to the Interim Director of Operations for Integrated Marketing Communications.
Integrated Marketing Communications is directly tasked with supporting the University's mission and strategic plan by building brand equity, elevating the University's national reputation, providing strong and consistent institutional message leadership, and implementing effective integrated marketing and communication strategies. The Operations Manager fulfills a central role in helping the department accomplish its goals.


  • Finance/Purchasing - Provide expertise on all necessary university financial systems to manage purchasing, recharges, budget transfers, and contract processing. Coordinate systems and processes for IMC including equipment, inventory and contract management. Oversee all office purchases, inventory, and assets.
  • Partnership Coordination - Daily interface with university stakeholders to schedule, plan, budget, and document major university functions at Staples Center. This includes on-site event classroom management and support for university stakeholders using the Pepperdine classroom in Staples Center. Duties are management of utilities, infrastructure, inventory, hardware/software, purchasing and maintenance. Assist with all other partnership duties as needed.
  • Office Management - Provide leadership in office standards and policies and provide all necessary documentation and communications. Develop organizational procedures and systems for staff. Train department staff on usage/best practices for office systems, tools, and reporting needs.
  • Office Operations & Services - Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. Assist with new hires and supervision of student assistants. Facilitate all team related meetings, events, and commitments.
  • Administrative Support - Provide backup customer service functions including office reception and calendar management. Establish team atmosphere through leadership and employee development and improve employee and client retention rates through active communication and problem-solving efforts.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Bachelor's degree and 2+ years in office administration. Office skills to include financial reporting and purchasing systems experience as well as skills in managing calendars and phones for executives. Strong communication skills, excellent writing and editing skills, strong personal presence when communicating by phone and email. Must be proficient with MS Office, especially Word and Excel. PC, Mac, Phone, Printers, Copiers, Media/Presentation Equipment.

Preferred: Google Docs, PeopleSoft or Equivalent Systems; Excellent administration and prioritization skills; ability to align efforts across multiple departments; Very strong organization, problem solving, and interpersonal skills; Ability to work well with others and experience pulling internal resources together to ensure timely results; overseeing several projects at once; Ability to work across several projects and adapt to shifting priorities; Ability to work with tight and aggressive deadlines while being extremely detail oriented and organized for accurate and timely delivery of projects Adobe Creative Cloud, Microsoft and Google suites, Slack.

Salary: Commensurate with experience.
