Job Duties
Document management & correspondence
- Processing: generally involves scanning, copying, printing, and uploading; preparation of design submission packages; updating electronic registers (i.e. in Excel); inputting of data into Incite; the controlled movement of data within Incite; maintaining the team’s hard copy library; any other associated activities as requested; maintain files/records and document the same
- Documentation: consists mainly of design data (drawings, calculations, reports, specifications, etc), submissions from sub-contractors and their responses following review by Client / Interested Parties / Consultants (drawings, method statements, ITPs, as-builts etc), RFIs and their responses, and so on.
- Follow all established document control and Project procedures, highlighting non-compliances and suggesting improvements
- Draft emails/letters on relevant matters related to engineering document submissions in consultation with supervisor
- Assist with report creation by following up with concerned persons for inputs, collating information together and getting the report ready on time for presentation/meeting
- Receive/send external & internal couriers; Re-direct to intended recipients based on content
Interfacing with Interested Parties / Approval Parties
- Maintain register of external contacts for engineering document distribution from time to time; Categorise contacts as directed by supervisor
- Maintain records of the issuance and responses to and from interfacing interested parties and approval parties to track outstanding responses
- Upon reaching reply deadlines for circulation of engineering submissions, chase outstanding responses from interested parties / approval parties
- Where requested by supervisor, prepare reports on the status of responses from interested parties / approval parties regarding engineering submissions
Tracking Design Progress
- Logging and recording in a controlled register activities relating to engineering submissions and tracking close-out of each activity by responsible parties. The purpose of the register is to track each and every design submission activity and for whom outstanding actions are required.
- Tracking activities relative to design submissions programme provided by supervisor in a date tracking register provided by supervisor
- Identifying and reporting to supervisor on key submission and approval milestones, including any delays, etc
Job Requirements
- Diploma in Business administration
- Total work experience: 5 years in managing of engineering documentation
- Proficiency in Microsoft Office suite
- Multi-tasking ability
- Planning & organising skills
- Good communication skill
