JOB SUMMARY:
Responsible for the successful innovation, logistics planning, financial assessment and execution of events across UO resort property (USF, IOA, CW, VB, and at times, Loews properties). Empowered as the project manager to create vision, cultivate relationships, collaborate with and delegate duties to internal partners and external vendors, strategize and problem solve all event elements to completion. This position deals primarily with the Youth Sales Product and may also be asked to assist other Event Managers on projects as required.
MAJOR RESPONSIBILITIES:
- Works with departments involved in the development and execution of Youth and other park groups, events and FAMs with the main objective of ensuring client satisfaction and repeat business.
- Individual works directly with other internal departments to ensure all event elements and client needs are defined, and executed accordingly, which ensures for a flawless event execution.
- Responsible for following the SOP, including working with the sales team, proper turn-over of event related information, calls to the client and internal partners, prospectus completion, itineraries, and event execution of events.
- Create and assist with scheduling of events.
- Communicate with internal partners and clients, build relationships, make decisions and problem solve.
- Time management skills are necessary in this position, as this is a fast-paced, challenging environment, with quick responses needed to clients, internal partners, and our guests. Flexibility in the field and with the team member’s schedule is also important for this job.
- WRITTEN & SALESFORCE CONFIRMATIONS
- Finalizes event needs and sends out confirmation emails to clients and internal partners.
- Log all events into the calendar and keep log on hours worked.
- Maintain above average ratings on CSATs from clients which include performance ratings on event execution, knowledge of the job, professionalism, flexibility, responsiveness, accessibility, and communication.
- Assists with counting, determining, and ordering supplies needed for events or replacement of equipment.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training, and team member involvement activities.
- Perform other duties as assigned.
EDUCATION:
- Bachelor’s degree from a four-year college or university in Event Management or related field.
EXPERIENCE:
- 1+ years: overall experience in event planning and/VIP experience required.
- Theme Park experience preferred and UO product knowledge is preferred.
- Equivalent combination of education and experience.
ADDITIONAL INFORMATION:
- Budgetary and Financial responsibility for each event/FAM/VIP Visit. Itinerary/Event Prospectus communications (internally and externally) Event organization, execution, and event follow up. Maintain healthy working relationships and meetings.

- CLIENT PORTFOLIO: Travel Planners, Group Direct, Educators, Youth Sports Associations, Charitable Organizations and UO Sales
- Channels
- Youth Consumer Marquee Grad/RTU and FAM events
- Education & Volcano Bay Transportation Coordination
- Performance & Parade Logistics
- Salesforce/Lightning Account Management
- Track budget costs throughout the course of a project and communicate budget changes to the Client, Sales Manager and Finance Cost Controller.
