Quinnipiac University invites applications for Administrative Assistant. This position will perform clerical, administrator assistance, project coordination, and event support duties required to support Academic Affairs, including primarily the Albert Schweitzer Institute, as well as other Academic Affairs areas, as directed by the supervisor. This position will be located in the Albert Schweitzer Institute building and support the other unit(s) remotely.
This is a 10-month position with a starting hourly rate of $24.83 per hour, 35 hours per week.

Responsibilities: |
General Duties:
- Support directors, faculty, and staff within Academic Affairs units in the performance of their duties.
- Use Quinnipiac’s systems fully and effectively, including tracking budget & expenses, preparing requisitions & processing invoices.
- Use University software to perform duties such as correspondence, meeting minutes, spreadsheets, reports, grants, forms and memos. Edit work for accuracy, format, spelling, punctuation and construction. Assure timely completion and distribution of all material.
- Gather and enter data for the preparation of various reports/documents; search internet for special projects.
- Organize and maintain a filing system for all pertinent department/program data so that it is readily accessible.
- Coordinate event logistics for lectures, meetings, and seminars as required; notify participants and arrange for all materials, food, facilities, AV equipment, budgets, travel, and support functions. Handle travel for staff. Attend events as required.
- Other clerical duties as assigned.
Duties Specific to the Albert Schweitzer Institute:
- Maintain phone coverage, greet visitors and students, take messages, relay information and answer questions within scope of knowledge and authority. Handle high public contact/needs efficiently and professionally, including with Nobel Peace Prize Laureates, community organizations, and other university offices.
- Have knowledge of and support the Albert Schweitzer Institute’s programs, archival materials & museum, and university & institute procedures. Assist in the compilation of promotional pamphlets, articles, & newsletters for the Institute. Track the ASI’s memorabilia and assist with exhibits of same in offices and museum area.
- Review and route incoming mail for appropriate distribution and action.
- Supervise and coordinate work for student workers; assist in the coordination of applied & experiential learning opportunities for faculty, staff & students.
The following schedule applies because of the unique requirements for the effective operation of the ASI and other Academic Affairs units:
- Event attendance will include day and possibly overnight travel, on average once per month, as well as some evening & weekend hours.
- Employee will work full time from the third week in August through the second week of June - M-F 9am-5pm. Dates may vary slightly based on the calendar.
- Holidays will follow the University calendar during scheduled work months.

Education Requirements: |
- High School Diploma or GED required
|
Qualifications: |
- Administrative Assistant experience
- Excellent verbal and written communication skills
- Excellent planning and organizational skills
- Ability to take initiative and ownership of projects
- Attention to detail
- Proficiency with Microsoft Office - Word, Excel, Outlook
- Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion
