About the Position: 

The College of Education is home to more than 1200 credential and graduate students. The College of Education’s work focuses on closing the opportunity gap. The College’s impact is notable given the fact that we credential the largest number of teachers of any public institution in the state of California and have the largest Doctorate of Education (Ed.D.) program in the CSU system. We seek an exceptional individual to join our Special Education team as the Administrative Support Coordinator I. The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under general supervision, the Administrative Support Coordinator independently provides a full range of administrative, financial, technical and support services for the Department of Special Education and the Department of Literacy and Reading Education which serves approximately 300 students in the Master's Degree, Preliminary Special Education Credentials and Advanced Reading Credential programs. The Administrative Support Coordinator I is responsible for the coordination, room reservation and event planning of department meetings, professional development events, retreats and other special projects. Serves as office lead and oversees hiring, training and development of student assistants working in the department. Responds to problems and needs of students and faculty which may require confidentiality and researching, interpreting, and resolving problems based on knowledge of university policies and procedures. Oversees department resources including general office supply inventory, purchases and technology services. Researches information, compiles data and prepares reports for department needs. Plans and coordinates schedule of classes, room assignments, textbook orders, and space utilization between other college departments. Assists chair in preparing reports for dean's office, Vice President for Academic Affairs, state and national credentialing agencies, and the Chancellor's Office. Maintains budget for several accounts and associated procurement cards, reconciles monthly Operating Expenses and Equipment budget, and sets up and processes supervisor mileage reimbursements. Maintains contact with offices across campus such as Travel, Procurement, the Bookstore and Scheduling. Verifies and inputs changes for each edit cycle of the schedule and prepares required reports for university scheduling office. Generates and maintains records of part time faculty including entitlements, contracts and faculty separations. Updates the department website, oversees the department social media and serves as the Department Information Technology Coordinator (DITC). Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Experience working in a higher education setting, specifically post graduate programs and in a large academic department. Experience or knowledge of Common Management Systems. Working knowledge of California State University, Fullerton's budget policies and procedures. Experience overseeing the work of others, such as student assistants.  Ability to quickly learn and interpret policies and procedures. Strong customer service experience.

License/Certifications

A valid California driver's license.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, the current Annual Security Report (ASR) is available for viewing at: https://hr.fullerton.edu/risk-management/clery-act/. This report contains the current security and safety-related policy statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information, and drug and alcohol prevention programming. The ASR also contains statistics of Clery Act crimes for California State University, Fullerton for the last three (3) calendar years. Paper copies are available upon request at the CSUF Police Department.

 

Notice of Availability of the Annual Fire Safety Report (AFSR)
