The Opportunity

As an Executive Assistant, you will be responsible for optimising the time of the Executives, providing administrative support, and ensuring the smooth operation of day-to-day activities.

Your duties will include (but not limited to):

  • Representing the hospital to multiple stakeholders including patients, doctors, employees, managers, human resources etc.
  • Ensure governance requirements and complaint management are addressed within agreed timelines.
  • Prepare agendas and accurately maintain meeting minutes.
  • Prepare and send comms to employees, managers, and doctors on behalf of the Executive team.  
  • Coordinate employee engagement initiatives and functions.
  • Coordinate doctor credentialing process to grant medical privileges.
  • General administrative support to the executive team.
  • Respond to enquiries presented at executive reception.  
  • Assisting hospital managers with administrative tasks
  • Provide confidential and efficient secretarial services in relation to flow of information.
  • Maintenance of staff records & files.

 

Skills and Experience

To succeed in this role, you will be an enthusiastic individual with a passion for customer service who enjoys being part of a busy environment. You will also have ability to converse and show initiative as well as being able to multitask.

You will also bring:

  • Previous experience as an administration assistant (essential)
  • Computer literacy including the Microsoft Office suite of programs
  • Excellent communication and interpersonal skills
  • Comfortable working within a multidisciplinary team of clinical and non-clinical staff
  • Exceptional attention to detail.
  • High level of confidentiality.
  • Ability to work independently as well as collaboratively in a team.
  • Effective time and task management skills.
  • Flexibility and quick adaptability.
  • Experience with Meditech, SAP and Mercury (desirable)

Requirements

  • Provide or complete a National Police Check (conducted within the last 12 months)
