About the Opportunity

Programmed’s Facility Management team is seeking an organised, proactive, and detail‑driven Facilities Coordinator to support our Urban Utilities Operations Contract. This is a fantastic opportunity to join a high‑performing team responsible for the timely and accurate processing of contract documentation - including invoices, credit notes, reporting, and maintaining high‑quality contract data across our business systems.

Beyond day‑to‑day tasks, you’ll help drive operational accuracy, support continuous improvement, and uphold strong relationships with internal teams, contractors, and clients.

This 12‑month full‑time maternity leave contract, based in our Spring Hill, Brisbane office, offers a flexible hybrid working arrangement where you’ll join a close‑knit, supportive team dedicated to delivering high‑quality service and operational excellence.

 

Key Responsibilities

  • Manage work orders end‑to‑end, including data processing, invoicing, filing, and preparation of contract documentation
  • Navigate and action tasks across multiple client and internal CMMS platforms (Ellipse, Click, eForms, Maximo, Touchstone)
  • Develop, monitor, and adhere to planned maintenance scheduling
  • Provide high‑quality administrative and clerical support to the contract team
  • Monitor KPI performance and support reporting requirements
  • Manage invoice and claim processes in line with contract requirements
  • Produce reports and liaise with internal branches to resolve contract job issues
  • Undertake month end financial duties in accordance with PFM standards
  • Assist the Contract Manager and Operations Manager with data analysis, reporting, and general contract administration

 

About You

Ideally, you’ll bring previous experience in the Facilities Management (FM) space, giving you a solid grounding in coordinating contractors, managing workflows, and supporting service delivery. You’re a motivated and service‑focused professional who thrives in a fast‑paced environment. With strong administration experience and keen attention to detail, you’re confident managing high‑volume workflows and building strong relationships with colleagues, contractors, and clients alike.

You will also bring:

  • Experience in a similar administrative or contract support role, ideally in a service, facilities, utilities, or operational environment
  • Strong capability in data entry, workflow coordination, and client/contractor engagement
  • A proactive, “can‑do” approach and commitment to delivering high‑quality outcomes
  • A strong customer service focus and the ability to collaborate effectively across multiple stakeholders
  • A strong customer focus and an ability to build strong customer relationships
  • Excellent written and verbal communication skills
  • Experience with Maximo MASV8/V9 or other CMMS platforms (highly desirable)
  • Intermediate to advanced Microsoft Office skills
  • Qualifications in Accounting, Business, Property, Systems, or Scheduling (desirable but not essential)
