Job Summary 

Under the direction of the Executive Director, Housing & Residential Life, the Warehouse and Inventory Specialist performs all duties but works independently in inventory control, work control functions and minor project coordination for University Housing Services. Incumbent is responsible for the daily operations of the Warehouse, including but not limited to Warehouse Stock, Inventory Control, and the leadership of Student Assistants assigned to the area. In accordance with all applicable state laws, Trustees, and University policies, the Warehouse and Inventory Specialist independently processes a variety of diverse and complex requisitions, purchase orders requests, and invoices for the department goods and services.

Furthermore, this position is responsible for providing services that are equitable, inclusive and provide culturally sensitive services that enhance the quality of campus life, retention, and graduation rate. This position uses a student- centered and equity minded approach in all communication and service efforts.

Key Responsibilities

  • Purchasing support - Conduct thorough analysis of pricing, quantity, availability, and shipping times with vendors. Identify and recommend opportunities for product standardization and cost-effective alternatives.
  • Inventory and Stock Management - Exercise sound judgment and decision making daily; evaluate and balance price, delivery, and quality concerns to best meet client's needs and keep supervisor informed of issues of concern.
  • Administrative - Reconcile Purchasing Cards as assigned. Provide assistance to the department budget coordinator with reconciliation problems. Track spending in various budget sheets and purchase orders including keeping excellent inventory.
  • Supply Delivery, Pick Up, and Distribution - Organize delivery dates and times with various vendors. Organize and distribute supplies to staff members and custodial storage areas.

Knowledge Skills and Abilities

The ideal candidate should possess a working knowledge of methods, practices, and equipment used in receiving, storing, packing, and shipping materials and supplies, along with basic knowledge of facility and custodial equipment maintenance. They must quickly learn and apply CSU procurement practices, procedures, and materials specifications, and have the ability to plan and lead the work of others while forecasting supply needs. General knowledge of facilities equipment and materials for maintenance and custodial work, inventory methods, and proficiency in Microsoft Office, Oracle PeopleSoft, Metabim, Trackpad, and Mail Metering software are essential. The candidate should be able to match names and numbers accurately, keep simple records, make arithmetic computations, operate powered materials handling equipment, and perform manual labor. They should also have a thorough knowledge of English grammar, business writing, punctuation, and spelling, and be able to compose and format correspondence and reports.

Additionally, the candidate should have strong oral communication skills, excellent customer service and public relations skills, and the ability to train others and provide work lead direction. They must be flexible with working hours, including weekends, and demonstrate knowledge of various computer applications. The ability to perform standard business math, handle multiple priorities, coordinate tasks, and maintain confidentiality is crucial. The candidate should be committed to customer needs, able to communicate professionally, and have experience with lifting and moving heavy materials. Observing safety practices, working under adverse conditions, and carrying equipment up multilevel buildings are also required. The ability to work independently or as part of a team, and handle occasional overtime or emergency callbacks, is essential.

Education and Experience

• Equivalent to a bachelor's degree in a related field and two years of related experience required.

• Experience in a storeroom or warehouse in the performance of work involving the receipt, storage, and issuance of a variety of supplies, material, and equipment preferred.

Physical Summary

  • Heavy work - Job involves lifting more than 40 pounds. Approximately half of the incumbent's time will be spent walking, standing, squatting, kneeling, or climbing.

Licenses / Certificates

Valid California driver's license required to drive university vehicle and transport materials and equipment to various Housing sites required.

• Employees who are required to operate motorized vehicles and/or use their personal vehicle more than once a month on university business are required to take a mandatory Defensive Driving course and enroll in the DMV Employee Pull Notice (EPN) Program.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,879 - $7,488 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
