Work Site Location: Harding Center
Work Schedule: 19.5 hours per week, July - June 

North Idaho College does not have a vaccine requirement. However, some departments and programs at NIC, including Head Start and many of our nursing and health professions, are subject to federal or local hospital vaccine requirements. 

Job Summary:
In conjunction with the North Idaho College Head Start mission, Five-Year Goals and in compliance with all local, state and federal regulations the Center Assistant is to perform office and center duties necessary to maintain efficient and orderly office operations, provide support to center staff and program families, identify center facility needs, and develop community relations.

Job Duties:

This list includes, but is not limited to the following:

  • Maintains a positive, helpful, constructive attitude and work relationship with supervisor, staff, families and the community.
  • Performs a variety of complex, diverse and confidential duties that involve exercising some independent judgment and discretion, multi-tasking with efficiency, and maintaining accuracy.
  • Understands and applies office policies, procedures and practices associated with the specialized nature of Head Start.
  • Assist Supervisor to maintain efficient and orderly center operations.
  • Participate as part of the center team to ensure efficient center operations
  • Responsible for ensuring facility is safe and well maintained.
  • Assess the needs of the Center and update the center’s strategic plan.
  • Monitors, tracks, reconciles and reports on budgetary affairs for the center.
  • Requisitions supplies, printing, maintenance, and other services, prepares appropriate purchasing documents, and processes invoices as required.
  • Input non-federal share (in-kind) into program’s data collection system.
  • Update and maintain center inventory.
  • Assist in compiling reports as assigned by Supervisor in a timely manner.
  • Provide clerical support for Supervisor and serve as staff recorder.
  • Perform office duties including word processing, filing, copying, scanning, data entry, mailings, and purchasing process.
  • Coordinate with Supervisor for scheduling and facilitating Center meetings and activities and community events.
  • Prepare and distribute meeting agendas, meeting minutes, flyers, monthly newsletters, and calendars.
  • Responsible to maintain accurate child applications and wait-lists.
  • Work with center team to assist in scheduling appointments (i.e. In Person Interview, Enrollment, Home Visit)
  • Participate in center and/or program recruitment activities.
  • Responsible for the maintenance and ordering of office equipment, and training staff on proper operation of equipment.
  • Correspond with staff and community agencies to gather and exchange information.
  • Participate in professional development opportunities to ensure up-to-date, quality services to children and families.
  • Participate in a program committee as assigned
  • Participate in a Community Service Assignment to support increased services to the children and families in the program.
  • Serve on the Administrative Team, attending administrative meetings and trainings, as needed.
  • Plan work time to meet the center operations schedule, knowing that flexibility is required to meet the unique needs of the Head Start program and its participants.
  • Perform other duties as assigned by supervisor.

Minimum Qualifications
Education and Experience:

Level I: High school diploma or GED

Level II: A.A.S. Administrative Assistant or AA/AS in Business or related field.

One-year experience in office setting, with preference given to Head Start experience.

Required License and/or Certifications Upon Hire:

• Maintain Idaho Food Handlers Card.
• Maintain current Infant/Child & Adult CPR and First Aid.
• Meet terms of Statement of Agreement/ Employment Declaration.
• Pass an enhanced criminal background check including fingerprinting, as required by Head Start Program Performance Standards and Child Care Licensing requirements, prior to first day of work

Knowledge, Skills, and Abilities:
• Excellent customer service and interpersonal skills.
• The ability to work with families and children from diverse ethnic, cultural and linguistic backgrounds.
• Positive approach to Early Childhood Development programs, health and social services.
• Proficient skills using common computer software programs including data collection systems.
• Ability to operate standard office equipment including phone and copier.
• Demonstrate professional ethics and confidentiality. Represent the Head Start program in the community and with other professionals, positively and with professionalism.
