Flexible hours between 8:00 a.m. - 5:00 p.m., Mon-Fri

Job Summary

This position, under the general supervision of the Director of Environmental Health and Safety, or designee, encompasses the University's compliance programs in occupational health and safety, as well as supports the safety training program and EHS administrative coordination. This position will also provide support in organizing office processes and supporting campus and community training programs and services.

Attention to detail is vital. The incumbent will assist staff with the preparation of training materials, handouts, tests, and evaluation forms. Assists in the production and distribution of various publications (e.g., training reports, calendar schedules, student training records, instructional guides, newsletters, etc.) as needed. Must have excellent communication skills, enjoy interacting with others, and be comfortable working with management. Must work effectively with different audiences (e.g., staff, faculty, students, and visitors) to provide information and clarification regarding training programs, office procedures, policies, and procedures. Strong computer skills and working knowledge of modern office and training equipment is required.

This position also provides support in all campus areas to ensure compliance with occupational safety and health regulations and standards, including fire and life safety regulations and standards. Incumbent will provide outreach to campus employees, promoting safety awareness throughout the organization. Assist in investigating complaints and reports of unsafe or unhealthful working conditions. Assist in conducting incident reports and enter reports and findings into safety management systems. Assist in performing safety audits, inspections, and evaluations to identify potential hazards. Incumbent will be required to drive university-owned vehicles on and off campus. Other duties may include, but are not limited to data entry, filing, answering phones, greeting customers, making safety signs and labels, posting health & safety information, reviewing and distributing PPE and sanitization supplies, and completing assigned projects by EHS staff, as needed.

Occupational Health & Safety Compliance:
1. Assist staff with monthly inspections of fire extinguishers, safety showers, eyewash stations, automated external defibrillators (AEDs), evacuation chairs, and other campus safety equipment. Record findings and conduct follow-up inspections as needed.
2. Accompany 3rd party vendor annually to perform fire extinguisher service.
3. Assist with training faculty, staff, and students on fire and life safety, and other safety programs, as necessary.
4. Provide assistance to all EHS program areas, as necessary.
5. Review requests for PPE and sanitization supplies and distribute, as necessary.
6. Operate university vehicles on and off campus on university business.
7. Perform office tasks such as greeting visitors, responding to routine questions, answering phones and taking messages, assisting with filing documents, data entry, greeting customers, making safety signs and labels, and posting health and safety information.
8. Perform other duties as assigned.

General duties include:
1. Answer phones and greet visitors.
2. Help set up training events and plan/coordinate office events.
3. Assist with training faculty, staff, volunteers, and students on various health and safety topics. Support safety training program by assigning programs in the electronic learning management system (LMS), emailing notifications to users, and reserving training locations.
4. Attend committee meetings and take minutes.
5. Maintain and organize training equipment and facilities prior to and following events.
6. Data entry using LMS and other electronic programs.
7. File documents, track/issue parking permits, and assist with other clerical duties.
8. Run and prepare training activity reports.
9. Monitor and maintain inventory - office supplies including print materials (department brochures, business cards, envelopes, etc.) training supplies, batteries, equipment, etc.
10. Pick up/drop off paperwork and materials to other departments on campus.
11. Update and edit department websites.
12. Review requests for PPE and sanitization supplies and distribute, as necessary.
13. Assist Administrative Support Coordinator with processing financial records, as necessary.
14. Operate university vehicles on and off campus.
15. Provide backup assistance to all EHS programs, as necessary.
16. Perform other duties as assigned.

Minimum Qualifications

Ability to learn and perform assigned work; follow oral instructions; work cooperatively with faculty, staff, and other students; communicate effectively with all levels; and read and write English at a level appropriate to the position.

Required Qualifications

  • Current student at CSUF and is enrolled/registered (fees paid) in a current regular semester as a new or continuing student.
  • Student who has completed the prior semester (has not graduated), or who is registered for the subsequent semester.
  • In good academic standing (not on academic probation, continued probation, academic dismissal).
  • Student who is authorized to work in the United States and can provide employment eligibility documents.
  • drivers license 

Background Check

A background check (including a criminal records check) must be completed satisfactorily and is required for this position. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
