The Alumni Relations Coordinator serves as a key member of the Alumni Relations team, acting as the primary point of communication for alumni and internal University partners. This position provides comprehensive administrative, operational, and programmatic support to the Class Affinity Team, the Volunteer Engagement Team, and the broader Alumni Relations office. The Coordinator is responsible for supporting major events, managing data and technology platforms, maintaining confidentiality protocols, and delivering exceptional customer service.

This position is a Grade: 7 - 37.5 with an approximate salary range of $36,640-$43,980 and is subject to change based on experience, skills and qualifications.

Key Accountabilities:

• Provide logistical support for major Alumni Relations events, including preparation of nametags, lists, event materials, and on-site support as needed (e.g., Reunion Weekend, Giving Day, Grad Fair Days, Distribution Days, Volunteer Leadership Conference, Mountain Talks).
• Manage and update website content throughout the year, including Class Webpages, Center for Career & Professional Development, Alumni Admissions Outreach, Young Alumni Council, and Alumni Awards.
• Maintain a comprehensive understanding of Alumni Relations operations to effectively support staff and volunteers.
• Assist the Assistant Vice President with LUAA Board nomination processes and meeting preparation.
• Provide administrative support including greeting visitors, scheduling meetings, processing office orders, managing phone communications, and coordinating with campus partners.
• Arrange meeting logistics including room reservations through 25Live and coordinating technology needs.
• Utilize Microsoft Excel and University database systems to extract, analyze, and manipulate data for program planning and reporting.
• Collaborate with Development and Alumni Relations staff on sensitive data handling for high-level prospects and volunteers.
• Develop and maintain a standardized process for managing volunteer confidentiality agreements.
• Maintain updated electronic records including archiving emails and managing Confluence documentation.
• Serve as the first point of contact for alumni volunteers and class leaders seeking event, communication, or technical support.
• Coordinate training for volunteers using the Volunteer Tool (web-based database application) and serve as the primary troubleshooting resource.
• Ensure all confidentiality documentation is completed before granting system access; monitor and enforce data privacy practices.
• Proactively identify opportunities to improve departmental processes and recommend or implement changes.
• Assist with crowdfunding campaign logistics, including data transfers between Argos and external vendors.
• Create online event registration portals and draft event-related communications for programs such as Mountaintalks and class-based events.
• Serve as the primary contact for Aureon, Lehigh’s external customer relations management partner.
• Recruit, train, schedule, and supervise student workers supporting Alumni Relations operations.

Qualifications:

• Associates or Vocational/Technical Degree; Bachelor's Degree preferred
• One to three years of related work experience
• Strong proficiency in Microsoft Office Suite, especially Excel
• Experience with databases, data extraction, and data manipulation
• Excellent written and verbal communication skills
• Proven organizational skills and attention to detail
• Ability to maintain confidentiality and manage sensitive information
• Customer service orientation with strong interpersonal skills
• Ability to handle multiple projects simultaneously and work independently
