JOB SUMMARY
Reporting to the Associate Director of Academic Renovations, this position is responsible for the daily support of Academic Renovations projects, including procurement, supply and delivery of construction materials, data management, inventory control, and tool management. Working in a fast-paced environment, this position communicates with contract vendors, contractor trades personnel, University Project Managers, staff, and other professionals daily.
DUTIES AND RESPONSIBILITIES
- Provides administrative support to multiple project managers in Academic Renovations. Provides additional administrative support to the Associate Director, Senior Facilities Professionals and/or other Administrative Program Support 2s, as required.
- Provides support for short-term and long-term projects such as compiling resources, managing internal calendars, customer requests, etc. and collaborating with the project management teams to manage time, labor and material needs.
- Responsible for coordinating all aspects of data management related to inventory control and the supply and support of construction materials for renovation projects. Maintains department files and inputs documents and information into computerized filing and database system.
- Coordinates with materials supply vendors, contracted trades personnel, and University staff to schedule deliveries of construction materials to project locations and ensures materials are delivered on time. Performs pick-ups and deliveries of materials/supplies to and from various locations as needed.
- Initiates on-line purchase order requests for vendors. Reviews related paperwork for accuracy, completeness and compliance with university regulations, policies, and procedures; monitors expenditures and spending; identifies and follows up to resolve problems, referring unusual or difficult problems to supervisor.
- Prepare reports as needed to provide information on the status of orders and related data system entries. Responsible for providing yearly Consumable Supplies Inventory of stock inventory items.
- Independently composes and/or edits routine correspondence and other documents; drafts or prepares new and/or more complex correspondence for supervisor’s review and/or signature.
- Screens documents for appropriate action and work with administrators to determine proper response or to resolve problems; makes referrals as appropriate.
- Serves as a resource regarding university and departmental policies and procedures; responds to requests for information and provides assistance in solving a variety of problems based on knowledge of the procedures, practices, and past experience.
- Regularly communicates and interacts with staff, vendors, and other University offices such as Purchasing to coordinate ordering of materials, check accuracy of billing, request quotes and delivery schedules. Responsible for receiving and approving all orders for materials including tasks related to shipments and reconciliations of invoices and returns. Communicates with members of the Facilities Services and University Planning Business Service Center Team regarding departmental purchasing policies and procedures.
- Regularly reviews procedures related to Purchasing and inventory for efficiency; makes minor changes or recommends major changes for improvement.
- Assists with the development and improvement of the data management system associated with inventory control.
- Responsible for coordinating related administrative functions including maintaining and monitoring stock materials and tools inventory on a daily basis.
- Responsible for performing vehicle inspections for all Academic Renovations University vehicles on a monthly basis; prepares and submits department vehicle reports; schedules the required maintenance visits with Motor Pool and related vehicle needs as necessary.
- Responsible for being the Academic Renovations department liaison for coordinating the Health & Safety Inspection program with the Environmental Health & Safety office. Attends EH&S safety meetings as required.
- May be responsible for training, supervising and/or establishing work schedules for students or other staff.
- Performs related duties as required.
MINIMUM QUALIFICATIONS
- Current UConn employee.
- Six (6) years of profession-based experience and training in facilities, construction, or related field; OR an Associates degree and four (4) years of profession based experience in facilities, construction or related field; OR a Bachelor’s degree in related field and two (2) years of related experience in facilities, construction or in related field.
- Demonstrated knowledge of commercial construction materials and terminology.
- Demonstrated ability to handle multiple initiatives concurrently and independently resolve problems.
- Demonstrated organizational and interpersonal skills.
- Experience utilizing Microsoft Office Suite applications, particularly Excel and Word.
- Experience working in a collaborative manner with diverse constituents.
- Must possess a current motor vehicle operator license and reliable transportation.
PREFERRED QUALIFICATIONS
- Six or more years’ experience in a construction, facilities or related field in a similar work environment.
- Experience in supply chain management, inventory control and/or procurement of commercial construction materials.
- Demonstrated knowledge of project management software, Computer Maintenance Management Systems (CMMS) such as AiM, database applications and/or purchasing software programs such as Husky Buy.
- Knowledge of UConn, State of Connecticut or other state or federal procurement regulations and procedures.
- Forklift Certification.
- Experience in a multi-faceted department and fast-paced environment.
- Proven familiarity with buildings and locations on the University of Connecticut, Storrs campus.
- Demonstrated knowledge of commercial construction tools and equipment.

PHYSICAL REQUIREMENTS
Incumbents must possess the physical ability to perform the required duties set forth above. May be required to wear personal protective equipment (PPE) when necessary.
Must be able to regularly lift, hold, carry, pack, unpack, transport, and deliver materials, supplies, tools, and equipment weighing up to approximately 50 lbs. to and from job sites, storage etc.

This position is categorized as Emergency Support Services/Essential Staff. Candidates must be willing and able to work during emergency closures/delayed openings due to inclement weather or for significant events that affect campus operations. Must have a willingness and ability to work evenings and weekends.
